Company Overview Since the establishment of the union of the United Arab Emirates in 1971, education has received the utmost attention of the founding leader, Sheikh Zayed bin Sultan Al Nahyan, may Allah have mercy on him, and his founding brothers. It also made sure that such schools provided high-quality educational environment and owned the most technically advanced tools to be able to graduate generations that could pursue their university education confidently in higher education institutions to fulfil the requirements of labour market. |
The MOE has also provided a smart learning system and high-quality digital platforms, side by side with the continuous development of school curriculums, according to national learning standards, assessment policy that is based on assessing for learning, and highest quality standards that match the best international practices. Various learning tracks, moreover, have been provided to support the capabilities and skills of students and achieve the country's strategy of encouraging the culture of creativity and innovation through providing the students with the skills of the 21st century and motivating them to have new ideas that relate to the reality they live in and foresee the future. Department Definition:
The Undersecretary's Office serves as the executive organizational unit responsible for supporting the Undersecretary in managing and overseeing the Ministry's operations, while ensuring the effective and efficient implementation of the Undersecretary's directives and decisions in a manner that contributes to achieving the Ministry's strategic objectives. The Office plays a pivotal role in coordinating efforts among sectors, organizational units, government entities, and strategic partners to ensure the integration of work, timely responsiveness, streamlined processes, and enhanced institutional performance.
The Office is responsible for overseeing and monitoring high-priority and strategically significant matters, tracking the progress of initiatives, projects, decisions, and assignments issued by the Undersecretary, and following up on the outcomes of meetings and committees to ensure their implementation within the established timelines. It also prepares periodic reports outlining progress, achievement rates, implementation challenges, and recommended corrective actions to support informed decision-making.
In addition, the Office is responsible for reviewing and analyzing matters, memoranda, and reports submitted to the Undersecretary, verifying their completeness, accuracy, and compliance with approved policies, legislation, and procedures. It prepares executive summaries and recommendations to ensure that all matters are fully developed and ready for submission to the Ministry's leadership.
The Office also manages the institutional follow-up framework for directives and decisions by establishing clear mechanisms for monitoring implementation, defining responsibilities, measuring progress, and maintaining continuous coordination with the relevant organizational units to address challenges that may affect execution. This contributes to strengthening the principles of governance, transparency, and accountability.
Furthermore, the Office is responsible for managing the Undersecretary's official correspondence, organizing official meetings and visits, and monitoring the implementation of their outcomes. It also prepares reports, presentations, briefing materials, and executive documents that support the Undersecretary's participation in meetings, committees, and official forums.
The Office contributes to strengthening institutional integration by establishing effective communication channels with the offices of Ministers, Assistant Undersecretaries, executive leadership, federal and local government entities, and strategic partners. This ensures alignment of efforts and the highest levels of coordination in implementing national and institutional priorities.
In line with its executive role, the Office continuously develops follow-up tools and mechanisms, enhances operational efficiency, improves the quality of deliverables, and develops performance indicators for executive assignments and priority matters. These efforts enable the Ministry's leadership to make informed decisions based on accurate and up-to-date information, while ensuring the effective and efficient achievement of the Ministry's objectives and strategic targets
Main Job Duties & Responsibilities:

1. Monitor the implementation of directives and assignments issued by the Undersecretary’s Office with the relevant sectors, departments, and entities, ensuring completion within the specified timelines. 2. Follow up on referred matters and ensure the receipt and completion of required responses, documents, and data within the approved deadlines. 3. Identify delays or challenges affecting the implementation of assignments, report them to the direct supervisor, and follow up on corrective actions until closure. 4. Monitor the implementation of outcomes from meetings, committees, and official visits, ensuring the completion of related actions and commitments. 5. Coordinate with focal points across sectors and departments to obtain the required data and information to support the functions of the Undersecretary’s Office. 6. Follow up on the completion of observations, requirements, and inputs related to submitted matters before presenting them to the Undersecretary’s Office. 7. Coordinate with government entities and strategic partners, as directed, to complete joint matters and monitor progress accordingly. 8. Continuously update databases and follow-up records of the Undersecretary’s Office to ensure the accuracy and currency of information. 9. Document the status of implementation of assignments and decisions, completion rates, and target dates, and ensure regular updates. 10. Maintain and organize the office’s files, documents, and records in accordance with approved systems and procedures, ensuring ease of access and retrieval. 11. Prepare initial follow-up reports highlighting progress status, ongoing matters, and overdue items, and submit them to the direct supervisor. 12. Prepare drafts of correspondence, letters, and templates related to coordination and follow-up activities in accordance with approved policies and procedures. 13. Contribute to the preparation of presentations, executive materials, and supporting reports for the functions of the Undersecretary’s Office. 14. Support the organization of meetings of the Undersecretary’s Office, including preparing agendas, arranging relevant documents, and following up on the implementation of decisions issued. 15. Provide executive and administrative support to the Undersecretary’s Office to ensure smooth workflow and operational efficiency. 16. Perform any other duties or assignments within the scope of the role as assigned by the direct supervisor. |

Educational Qualifications · Bachelor’s degree in one of the following fields: o Business Administration. o Public Administration. o Government Relations. o Law. o Project Management. o Or any other relevant field related to the nature of the role. |
